Insert Requirements
- Publisher accepts both full king-size and “A-size” (8” x 11” minimum size) inserts.
- Pre-clearance of all inserts by submission of sample paper stock or paper dummy when insert is not standard.
- Inserts not meeting mechanical specifications are subject to a surcharge.

Rich media ads

- Submitting the back up file (gif or jpg) ensures that an ad will be delivered if the user’s computer does not support Flash.

Ride-along and Polybagging Guidelines
Advertising Classification
- All outserts are 100% advertising and will incur either Ride-Along or Standard A postal rates.
Postal Issues
- The difference between usual postage incurred by the publication and the Ride-Along or Standard A rates incurred by the outsert, will be billed to the client.
- Product samples also must pay Standard A rates. Pieces incorporating product samples are subject to the approval of the USPS, the Printer, and the Publisher.
- The Publisher offers no guarantee that a product sample will not be crushed or damaged in the inserting or mailing processes.
- Any promotional piece other than an insert in compliance with AMP guidelines is subject to the approval of the USPS and the Printer.
- Samples containing products must be accompanied with a Material Safety Data Sheet, required by the USPS.
Earned Frequency Issues
- Earned frequency for the polybagging program will be assigned by the Publisher after the proposal has been accepted and a complete program is agreed upon.
Included in the Price Quote for Polybagging
- Cost for the space (outsert) including earned frequency rates.
- Additional postal charges incurred by the outsert and polybag.
- Cost of polybagging material and process.
Additional Polybagging Background
- Commitment for the polybag project must be made by the client two weeks prior to ad space close to allow time to schedule the project in the bindery.
- Polybagging may add time to the mailing schedule, depending on the complexity of the project.
- Material to be polybagged must follow specifications for the manufacture and manner of shipment agreed upon between the client and the Publisher.
Questions to Ask the Client to Determine the Nature of the Polybagging Project
- Describe the outsert/piece: A-size or King-size? Number of pages?Outsert may not exceed 10 7/8 inches × 14 3/8 inches.
- If not a standard advertising insert (outsert), how many pages is it?
- Is the piece a patient education or CME-related piece?
- What quantity do you anticipate mailing? How many issues?
- Is this project time sensitive?
- Provide paper dummy for bindery approval and postage estimate.
- Ride-Along pieces mailed at Ride-Along rates must not exceed 3.3 ounces. Otherwise, Standard A rates apply.

Page Layout Supply as single page files only, Right Reading, Portrait Mode, 100% Size, No Rotation. Created to the trim of the journal plus a minimum 1/8" bleed on all sides. Keep live matter 1/2" from trim edges. Crop marks and SWOP color bars must be included, position 1/2" outside trim. Reverse type should be no less than 6 pt. Fine lettering (thin lines, serifs) should be restricted to one color. All Fonts and graphics must be embedded or included with the files and conform to the file formats listed above.
Color Space All color images and files are to be supplied as CMYK with a Total Area Coverage (TAC) not to exceed 300% for the darkest area of an image. Spot Colors are to be identified using the standard Pantone naming convention and not a custom color such as "Dark Blue." PMS colors will be converted to process unless otherwise specified. When using both art and layout programs make sure spot color naming is consistent in all applications (ex. Do not define both PMS 201CV and PMS 201CVC).
Media/Delivery CD-ROM/ISO-9660 Format or DVD. All media must be labeled with the following: Journal Title, Volume # & Issue Date, Advertiser, Agency Name, Agency Contact & Phone Number. Attach printout of CD contents. Proofs All proofs must be produced from the final file submitted. Proofs must be imaged at 100% scale and in accordance with SWOP specifications. All color ads require a SWOP-certified contract color proof, which includes a SWOP proofing bar. For a list of current SWOP-approved proofs visit www.swop.org/certification/certmfg.asp, click on Certified Systems & ADS. Desktop inkjet printer proofs do not meet SWOP specifications. Elsevier cannot guarantee color match unless acceptable proof is provided. Revised proofs must be supplied whenever a text or design change is made. ANY alteration to a file will require output of a new proof at cost to the customer. All black & white or grayscale ads supplied require 100% size lasers for confirmation of ad content.
